ES-237 Enrollment Report

Annual enrollment report (statistics) information reported on form ES-237

Every year, the state office is required to report the 4-H activities to the Cooperative Extension Service (CES) personnel at the Department of Agriculture (USDA) in Washington, D.C.  This data is reported on form 237 and is designated ES-237 or more recently, CES-237.  The enrollment program, OK4H, became the tool to assist in compiling the required data.  It stored information about activities throughout the year and calculated the totals as required by the federal report based on the information stored in the database.

Originally, we asked that each county send the state office a copy of the data from their enrollment program (All-In-One) and fill out other forms which we then used to compile the statistics for the state.  in 1998, we changed our data collection method to have each county fill out a copy of the ES-237 report form and send that, along with a copy of the data from their enrollment program, to their district office. The district offices then consolidated those forms into a single report from each district. They, in turn, sent their information (along with the county enrollment data) on to the state office where we compiled the state statistics.

The introduction of the Access4-H enrollment system in 2011 allowed us to access county enrollment information in real time and eliminated the need for counties to turn in enrollment data at the end of each reporting year.  The system also had a built-in ES-237 report function that would "run the numbers" so that we could see what our enrollment looked like at any given time.  Access4-H was retired during the 2015 enrollment year.

We adopted the online enrollment system 4HOnline in 2015 but have used data saved from Access4-H to calculate our 2015 report.

  • The 2011 report is just the final totals for the state because we were in transition to Access4-H and some counties reported their numbers the "old way" and others used the Access4-H information.  The Excel spreadsheets which we used prior to 2011 to tabulate the county data from each district are posted in the table below.

    To download an Excel file, right-click on the Excel icon and select "Save Target As ..." from the menu. Since the statewide sheets are based on the district ones, you you will be asked if Excel should update the links in the workbook.  You should tell it not to try and update the values when it opens because it probably won't find the supporting worksheets -- even if you've downloaded all of them. They most likely will not be in a directory with the same name that we used and it uses the full path to the file, not just the name.
